We are currently seeking dedicated Temporary Executive Assistants for a range of temporary and contract assignments in Vancouver and the Lower Mainland. Opportunities available include Corporate Executive Assistants, Senior Executive Assistants, Administrative Assistants to C-suite executives, and more.

The role:
As an Executive Assistant, you’ll play an integral role in supporting top-level executives and ensuring smooth operations within the executive suite. Acting as a critical link between executives, employees, clients, and vendors, you’ll gain invaluable insights into leadership and business strategy, expand your professional network, enjoy the challenge and variety of a fast-paced environment, and have the opportunity to influence important decisions and contribute significantly to the smooth running of the organization.
 
Typical responsibilities include:

  • Managing the executive’s calendar, scheduling meetings and appointments.
  • Drafting correspondence on behalf of the executive, facilitating communication within the organization and with external stakeholders.
  • Coordinating travel plans, including booking flights, hotels, and arranging transportation.
  • Preparing for meetings, including creating agendas, gathering materials, and setting up the meeting space.
  • Creating and editing documents, presentations, and reports.
  • Preparing and tracking expense reports for the executive.
  • Assisting with or leading special projects as assigned by the executive.
  • Coordinating executive-level meetings and events.
  • Handling sensitive information with discretion and maintaining confidentiality.
  • Conducting research to aid in decision-making.
  • Gathering and analyzing data to provide insights to the executive.
  • Acting as a liaison between the executive and other staff members.
  • Welcoming visitors and facilitating their meetings with the executive.
  • Overseeing office supplies and maintaining a well-organized workspace.
  • Performing other administrative tasks as needed to support the executive and the organization.

Requirements:

  • Previous experience as an Executive Assistant or in a similar administrative role, ideally supporting senior-level executives.
  • Ability to handle sensitive and confidential information with utmost discretion.
  • Experience with or ability to manage projects, from conception to completion.
  • Excellent verbal and written communication skills, with the ability to communicate effectively with individuals at all levels of the organization.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Proficiency in using office software such as MS Word, Excel, PowerPoint, and various email systems.
  • Strong problem-solving abilities, with a proactive approach to resolving issues and challenges.
  • Strong interpersonal skills, with a focus on building relationships with key stakeholders.
  • High level of attention to detail, ensuring accuracy in all tasks and communications.
